This document refers to personal data, which is information concerning any living person who is not already in the public domain. Herd Group is committed to handling your personal data lawfully, fairly and transparently in line with the Data Protection Act, PECR and GDPR.
Who we are
Herd Group is a UK-based specialist in commercial vehicle rental and fleet management services, headquartered at 500 Dashwood Lang Road, Addlestone, KT15 2HJ.
Personal data we collect
We use the information collected from you to provide services and marketing information that we believe may be of interest to you and your business. Sources include forms, surveys, correspondence records, phone call logs and website activity. We collect only the information needed to provide our services. We do not sell or broker your data.
Who we share your information with
We will not pass your personal data to third parties unless it is a requirement of the service or product you have with us, and only where it is detailed in your contract. Third parties may include network providers, insurers, joint venture partners, repair networks, direct debit schemes, debt collection agencies, law enforcement and prospective business buyers during asset sales.
Cookies
Cookies are alphanumeric identifiers transferred to your device through your browser. They enable system recognition and features like product recommendations and loyalty discounts. You can disable cookies through your browser settings, but this may limit functionality.
Analytic tools
Google Analytics uses six cookies with expiration periods ranging from 30 minutes to 2 years, mainly to differentiate first-time visitors from returning visitors. Third-party analytics partners are contractually required to limit data use to analytical purposes and maintain equivalent security standards.
Legal basis for processing
Processing occurs to fulfil contractual obligations and legal requirements. We also pursue legitimate interests in promoting our services to existing clients.
Consent

Retention
We process personal data during the duration of any contract and continue to store only the personal data needed for seven years after the contract has expired to meet legal obligations. Unnecessary data is deleted thereafter.
Data storage and transfers
Data is held on multiple servers within the United Kingdom. We do not store personal data outside the EEA. In limited circumstances we may transfer data outside the EEA to provide our services, third-party processors maintain high privacy standards through EU adequacy decisions, PCI compliance or standard contractual provisions.
Your rights
You have the right of access, rectification, erasure (right to be forgotten), restriction of processing, data portability, objection to processing (including direct marketing) and the right to object to automated decision-making and profiling.
Complaints
If you wish to raise a complaint about how your personal data is processed by Herd Group or its partners, please contact our Operations Director at the address above. If unresolved within 30 days, you may escalate to the ICO (Information Commissioner's Office).
